[BUG] Error in Scanning IDs for Events Attendance Taking - TIME SENSITIVE TO SUPPORT 02/06 EVENT #4616

Describe the bug
Summary: Admin Staff member assigned to be an Event Admin received errors when taking attendance by scanning in IDs. The individuals were on the Guest List. Guest List was uploaded from .csv file in correct format and verified to be properly uploaded in the Event App Admin (https://api.rokwire.illinois.edu/admin-web/).

Description of what happened: For demo purpose for this event,

  1. I created a Super Event (SSS Super Event Test) with 3 Sub Events (SSS Sub Event Test - 1, SSS Sub Event Test - 2, SSS Sub Event Test - 3)
  2. Date of Event: 12-19-2024
  3. I uploaded a .csv Guest List and verified the upload was successful in the App Admin. See Fig. 1.
  4. Had an individual who was assigned "Admin" for the event scan IDs of 2 individuals on the list.
  5. Errors displayed (Figs. 2 & 3). Note that Total Number of Registrations shows "1" on Attendance Taker's device.
  6. Net IDs of individuals:
    • Event Admin: tcspence
    • Guest 1: chadly
    • Guest 2: jalcan8

Additional context
Note 1: The Event Start and End Times were changed a couple times for us to conduct tests. Tcspence tested during one of those time blocks, so we would expect Attendance Taking to work.
Note 2: I changed the current Event Start and End Times (2:30pm-5:00pm) for me to test. I was able to scan NetID of "nelshopp".
Note 3: The event is scheduled on 02/06. Please let me know asap if this can be resolved.

Hi @knguyenjahiel ,

The problem is that tcspence is registered both in the guest list and as an admin. As far as we managed to see, there is one more user lde2018.

In order to avoid the error and to be able to scan Id's as a short term resolution, you (as an admin of that event) can remove these two users from the guest list. This can happen through the Admin app. These are the steps:

  1. Open https://api.rokwire.illinois.edu/admin-web/
  2. Go to "Events Calendar"
  3. Find the problematic event "SSS Super Event Test" and open it
  4. Go to "Event Registration"
  5. Expand the "Guest List"
  6. Find the two users tcspence & lde2018 and hit "Delete" button against them (please see attachment)

This will remove them from the guest list and will allow them to scan Illini Id's.
